Notary Rejected - California

Last Friday I uploaded all seven pages of the final offer and figured I would be able to set up my buyback appointment sometime this week. This morning (Monday) I opened my e-mail to find a rejection from VW with the following statement: "The notarization that you have provided is invalid (e.g., missing state, county, name of notary)". I called the claims number (answered in less than 5 minutes) because I could not find anything wrong with the notary page. At first the claims rep agreed with me but then she said it was rejected because I did not have the supplemental California notary page. When I was at the notary (UPS Store) on Friday I asked about needing the supplemental California notary page and was told it's only needed for California transactions such as land and house sales. So, back to the notary for the extra page. :mad:

It seems like VW should have attached this form to all California offer letter packs.
...or just make the acknowledgement California-compliant--it won't hurt anything in any other state (I've notarized documents with the CA wording in other states without any problem). Stupid error, especially since the case is in CA.

I got the extra page notarized and re-uploaded to VW yesterday.
This morning I got another email from VW saying it was rejected again.
:mad:
I called in and the phone rep said they could see nothing wrong with it, and the rejection notes said "other / multiple". They escalated it to another rep who will contact me via email within 3 days.
After 2 trips to the notary and scanning/uploading the doc twice, I'm starting to get annoyed. Feel like I am jumping through all their hoops and am still getting rejected.
We'll see what happens.

I got rejected again too (2nd rejection). This time it I was rejected for "missing pages", but all the pages are there and the extra page is there too. I wish VW would have just included everything they require with my paperwork package I received.

Call your turn in dealer and see if they buy back agent is on site or en route. It could be VW stalling until they're in place.

My local dealer said they received several different dates from VW as to when the agent would be on site, and currently they're expected the first week of December, but they're not going to hold their breath.

I got rejected again too (2nd rejection). This time it I was rejected for "missing pages". I wish VW would have just included everything they require with my paperwork package I received.
Update: I resubmitted my whole pack and included the extra notarized page (so two notarized pages) and VW finally accepted my paperwork. I'm scheduled to sell the car back on Dec 8th. :)

Call your turn in dealer and see if they buy back agent is on site or en route. It could be VW stalling until they're in place.

This might explain the problem with people getting offer letters. In VW's convoluted logic. If the agents are not expected onsite in some dealers until December, then why email the offer letters now. Wait until the last possible moment and send them.

I think someone has an actually buyback appt this week.

Mine is Friday after Turkey day. I will be taking lots of notes of the whole process. Hopefully my experience will help others smooth their buybacks.

So just for future for those of us still waiting. We should make sure the noerty does not used a raised stamp. And Californians need that extra form they supply on the web site? Correct anything else we need to be orepared for?

on the plus side, atleast it seems like they're swiftly able to review the notary submission and get you the ability to schedule a buyback date.

It really doesn't affect me, but they have not used raised notary stamps in AZ in years. Some of the old timers my still have one, but they are not common...Mark

Yes, if you live in California, you need an extra page, it's this one. https://notariestoyou.com/forms/calack.pdf

You also need to get the notary page done that comes with the pack. So two pages with the notary signature and stamp.

I had my papers rejected twice before they finally got accepted.

My notary did the same thing. They said if they notarized the added CA-specific page, that they could NOT notarize the VW-supplied page. Only can notarize one page. They did stamp "see attached page" on the VW page.
I submitted our entire pack with the notarized CA page 8 days ago, and have gotten no response yet.

My notary actually took back the original notary page that came with the VW pack when she filled out the California Notary page. I believe I'd have to pay an additional $10 for the additional page, but I'm not sure. So she just switched the pages out and kept the original notary page.

The first time I uploaded my pages, I had scanned the pages using Genius Scan+ app on my iphone. I ended up just adding the additional California notary page to the already scanned (and rejected) pack VW sent me that I had already scanned.

Later that day I got an email that I could schedule my appointment.

My notary did the same thing. They said if they notarized the added CA-specific page, that they could NOT notarize the VW-supplied page. Only can notarize one page. They did stamp "see attached page" on the VW page.

When ours was done a couple of weeks ago the notary would not sign the VW supplied page either. She lined out the sections on their page and added "see attached" to them. She pulled out a pad of California All-Purpose Acknowledgment forms which she filled out, stamped, and signed. In the "optional" section under "description of attached document" she put "Volkswagen individual release of claims".

I added that page to the original package of 7 pages, scanned all of it in to a single .PDF making sure the QR code was on the bottom of the original pages.

It's probably my fault that they want the California page now. ;)
We received the offer, notarized it and uploaded it on 11/5. We received acceptance and scheduled the turn in time on 11/9.

The form linked at the beginning of the thread is the one we received. Print it out and take it with you in case they do not have any.

This is not a plug but we did ours at a Wells Fargo bank. They said they would do it for anyone for free.

Sounds like it's a service they offer to account holders. Wish I had thought of that since I have several accounts with them.
Oh well, the local notary only charged me 20 to do 2 pages.

Crap I submitted mine a week ago and I expect it to get kicked back now... Why can't VW give you the proper paperwork? There's no way anybody would know this unless they encountered it before and were really on the ball.

Are like 95% of CA claims getting rejected?

A CA notary should know what a CA acknowledgement should look like, and add the appropriate form if it isn't there. Seems there are a lot who don't. But yes, VW could easily have used a CA-appropriate form in the first place--it would still have been valid anywhere else.

Thanks for the input everyone! I made sure to have the notary cross out the section for them to sign and write "see attached" on top. They then included a CA notary form for each signature. Uploaded 9 pages and I'm crossing my fingers!

When did you upload your notarized docs initially? Just curious on your timeline. We just uploaded Sunday.

My notary did the exact same thing- crossed out the VW witness page and wrote "PLEASE SEE ATTACHED" for the CA Acknowledgement page. I uploaded all 8 pages and have been sitting fingers crossed since 11/21 hoping it's accepted.

That's odd some California notaries didn't know (or have) the correct form.

I could only find one difference between the two forms and confirmed it with the notary at Chase. On our California form there is a box that states: this only verifies the signature on the document and doesn't verify anything about the document itself.

Of course, that's the definition of notarizing something but whatever that statement should probably be on all documents rather than just California's. The reason this is confusing to some is because the signature line is on the general form and if you sign it but need the California form it is probably confusing where you'd put your new signature (top of general page, cross out notary info, see last page).

I'm surprised one notary notarized both pages. I believe that's directly contrary to notary rules and it's not about charging people an extra $10 bucks per page. I haven't read up on it but I suspect it's due to the notary only verifying the signature and not the document (so they shouldn't be stamping every page, but some do emboss every page to maintain document integrity, which is outside the scope of their duties anyway).
